The candidate will be responsible for managing the day-to-day administrative duties of the Business Sales team, ensuring smooth operations, and supporting both clients and team members.
Key Result Areas & Accountabilities
Client Interaction:
- Attend to walk-in customers.
- Act as the client’s key point of contact alongside sales team members.
- Call customers with updates on vehicle status (in transit, arrival, accessories installation).
- Schedule test drives and delivery appointments.
- Assist clients during vehicle delivery, including explaining features and finalizing documentation.
- Introduce clients to aftersales contacts during delivery.
- Follow up with clients a week after delivery to maintain relationships and address any needs.
Sales Support:
- Support the sales team with file preparation, finance approvals, and collecting or following up on missing documents.
- Assist the team in following up on quotes and updating the reserved stock report.
- Collaborate with B2B colleagues and provide operational support during their absence.
Administrative Duties:
- Issue the Cash Till report each morning.
- Manage company assets, including vehicles (garaging, scrapping, and transfers).
- Handle general administration tasks, generate reports, and manage lease contracts and buy-back agreements.
- Maintain and update databases for Japanese imports, company assets, and fleet vehicles.
- Assist with vehicle registrations and renewal of licenses and VRTs.
- Assess vehicles before delivery to ensure readiness.
Liaison Activities:
- Coordinate with insurance companies and shipping agencies.
- Communicate with PDI to ensure vehicle preparation and accessory requirements are met.
Marketing & Digital Support:
- Handle comments and messages on the Business Facebook Page.
- Assist the marketing team in posting updates on the B2B Facebook Page.
- Update the "Used Commercial" section on the Michael Debono Business Website.
Showroom Management:
- Ensure the upkeep of the showroom and display vehicles.
Other Responsibilities:
- Step in for the Short Rentals Representative during their absence.
- Carry out other tasks as assigned by the B2B Team Leader and B2B Sales Manager.
Essential Requirements:
- Proficiency with Microsoft desktop operating systems and Microsoft Office applications.
- Clean police conduct.
- Experience in customer service roles.
- Experience in the automotive industry (preferred).
- Valid and clean driving license.
